Create a Folder and Subfolders

Folders in Box work the same as on your computer.

  • To create a new folder to share in Box, click “New,” then “New Folder”.
  • Name the folder, invite collaborators, and set each collaborator’s access type.

  • To review access permissions for a collaborator type, click the “i” icon.
  • You will receive an email when a collaborator has accepted your invitation.
  • You can also create subfolders within a folder using the same procedures.

Create and Upload Files

Within each Box folder, you can create, upload, preview, and update files.

  • Open the folder where you wish to place files.
  • Click the “New” button to create a new file or folder.
  • Click the “Upload” button and select files or folders from your computer.
  • Browse for the file or folder on your local drives.
  • Click “Open” to upload.
  • With some browsers you can drag-and-drop a file from your local drive to a Box folder to create a copy.

Download and Delete Folders and File

For each folder or file, you can download and delete folders or files, as well as perform other actions. Deleted folders and files will no longer be available in Box for your collaborators. However, deleting files in Box will not affect local copies of the files on your collaborators’ computers. Downloading a file will not affect the file in Box. Files or folders can optionally be set to auto-delete on a selected date; this will help you maintain your 50 GB limit of storage capacity.

  • Click on the dropdown menu icon (down arrow) to the right of a folder or file name.
  • Select “Download” to download the file to your local computer.
  • Select “Delete” to delete the file from Box.
  • Collaborators in shared folders or files will be notified about deletions if their account settings are set to receive notifications.

Deleted files are held in the Trash folder for three months before permanent deletion. You can retrieve a file from the Trash folder before the three months. This is similar to the Trash or Recycle Bin on your computer.

Move or Copy Files and Folders

You can move or copy files and folders as you can on your local computer.

  • Click on the dropdown menu icon (down arrow) to the right of a folder or file name.
  • To move a file within Box, select “Move” or “Copy”.
  • Choose the destination folder.
