Alternate Media Accommodation Overview

Alternate Media refers to the conversion of printed course materials into accessible formats. This accommodation supports students with visual, information-processing, or strength/dexterity disabilities by ensuring they have equal access to textbooks and other printed course-related materials.

Accessible formats allow students using assistive technologies—such as screen enlargers or text-to-speech software—to engage fully with course content.

Process for Accessing Alternate Media Services

  1. Register for Classes: The student completes course registration.
  2. Submit Accommodation Request: The student logs into ARS Online Services and submits a request for the “Alternative Format” accommodation for each applicable class. Requests should be submitted as early as possible following registration.
  3. Instructor Notification: ARS sends a Notification of Accommodation to each instructor for which alternate format(s) were requested.
  4. Submit Alternate Media Request in AIM: The student submits a specific request for textbook conversion in AIM:
    • Navigate to My Accommodations > Alternative Formats
    • Scroll to "Additional Book or Reading Materials for [current semester]"
    • Complete the form and submit
    • SDRC will receive request and begin conversion process
  5. Proof of Possession: Students must provide proof of textbook ownership to the SDRC before alternative formats can be distributed.
  6. Download Materials: SDRC will notify the student via email when the alternate format is ready—usually within five business days. Files will be available via the AIM or dropbox platform.

Student Responsibilities

  • Check Pomona College email regularly for ARS/SDRC updates and requests
  • Submit alternative media requests promptly (as soon as possible after class registration)
  • Provide proof of textbook ownership
  • Inform SDRC of any schedule changes impacting course materials

Instructor Responsibilities

  • Respond to accommodation notifications as needed
  • Ensure all course materials (e.g., slides, handouts, websites) are accessible
  • Submit textbook information to the campus bookstore promptly
  • Create and share online materials in accessible formats
